The Executive Assistant completes a broad variety of administrative tasks for the President(s) and other members of the executive team, including but not limited to: managing the executive’s schedule and itinerary, including an extremely active calendar of appointments; prioritizing and handling correspondence that may be highly confidential in nature; preparing and responding to inquiries on the executive’s behalf; directing incoming inquiries to other staff as needed; processing certain compensation items and expense reports; managing complex and detailed travel plans, itineraries, and agendas; compiling documents for travel-related meetings; determining priority of agenda items for meetings and events for executives, including board meetings, and other details associated with such events; and researching and handling special projects.
This role provides analytical and specialized administrative support to relieve executive of complex details and advanced administrative duties, makes high level contacts of a sensitive nature inside and outside the company, works independently in the executive’s absence, collects and prepares information for use in discussions/meetings of executive staff and outside individuals, and handles details of a highly confidential and critical nature, all of which is essential to the general operation of the business. The Executive Assistant will act as the President’s representative both internally and with external third parties.
This position works closely with the President(s) to keep them well informed and prepared for upcoming commitments and responsibilities, following up appropriately. The Executive Assistant will also act as a “barometer” having a sense of the issues taking place in the environment and keeping the President updated as the Executive Assistant deems necessary.
This position requires someone with a great attitude and a can-do frame of mind, a team player who can handle multiple tasks with a heavy workload with grace, self-assurance and competence, and is excited by the challenge of a high level of responsibility and visibility in an intimate work environment in a growing and dynamic company.
The Executive Assistant must have exceptional administrative skills (coordination of travel, expense reporting, schedule coordination, meeting preparation, etc.), a positive and tactful demeanor, professional presence, high energy, excellent communication skills, a talent for assisting in coordinating inside a dynamic environment of senior leaders, and the ability to operate independently. The Executive Assistant must have an in-depth understanding of the general business operation.
Expectations:
The salary wage range for this opportunity is $77,300 to $105,600. Compensation depends on several factors: qualifications, skills, competencies, and experience.
